The United Nations Development Programme (UNDP) is currently seeking applications from the eligible applicants for the post of UN Recovery Administrative Assistant based in Sarajevo, Bosnia and Herzegovina.

Key Job Responsibilities
The Administrative Assistant will perform the following functions-
- Assist in day-to-day activities related to UN Recovery Programme administration such as recruitment, procurement, accounting and reporting;
- Organize meetings including venues, facilities, document preparation, catering and security clearances;
- Organize travel for programme members, consultants and participants for consultancies, training and workshops;
- Assist in editing and finalizing of annual reports and correspondence;
- Ensure particularly that all procurement documents are appropriately filed with meticulous attention to administrative, technical and commercial procedures;
- Monitor personnel files for national and international consultants, following up on contract expiry and extension dates, recording travel and travel entitlements, checking on completion of TORs and payment;
- Keep contract files including progress monitoring, payment schedules, completion of TORs and acceptance and clearance of deliverables;
- Provide inputs for publication materials and collect information related to the programme activities;
- Perform other duties as determined by the Programme Manager;
- Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day);
- Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;
- Reflect on the type and quality of voluntary action that they are undertaking, including participation in ongoing reflection activities;
- Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;
- Assist with the UNV Buddy Programme for newly-arrived UN Volunteers;
- Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.
Eligibility Criteria
Applicants must have-
- Secondary education (university degree in social sciences, business administration or similar is an asset).
- Minimum two years of progressively responsible professional experience in administrative assistance of project implementation and management preferably in a civil service, NGO, or international organisation environment. Computer literacy, specifically advanced skills in MS Office Suite. Work experience in the United Nations System or European Union -funded projects would be an asset.
- Fluency in English and BiH languages (written and spoken).
