World Bank announces vacancy for the position of Team Assistant and is seeking for the applications from the qualified candidates. Excellent verbal and written communication skills in English is required, including ability to draft routine correspondence and edit materials using proper grammar, punctuation and style. The job location is Manila, Philippines.
Duties and Responsibilities :
- Provide full secretarial/administrative support to the Country Coordinator and other Task Team Leaders (TTLs);
- Perform tasks which rely upon World Bank systems and processes, including SAP, Lotus Notes, WBG e-Consultant etc.
- Maintain familiarity with Philippines projects and assist with the tasks that most directly support them, including event coordination (conferences, workshops, meetings), proof reading, editing and formatting of relevant documents, etc.
- Draft and respond to routine correspondence; translate necessary documentation, keep track of communications and necessary follow up;
- On occasion, participate in operational and event-related missions as required;
- Assist in the implementation of the unit’s work program, including some specialized support in one area, e.g. task management, procurement, database management, information technology, editorial assistance, etc., as relates to operational support;
- Attend meetings, occasionally draft minutes, and ensure timely clearance and distribution;
- Manage the WSP Philippines calendar of events, and video and audio conferences;
- Assist in making all travel arrangements for the designated officers and consultants;
- Create and maintain up-to-date distribution lists, phone/address lists of project/product contacts, and distribute documents to task teams as required;
- Support TTLs in maintaining internal and external contacts: (i) internal: WSP-EAP country offices, WSP Headquarters and field staff elsewhere, other units within WBOM, including those providing cross-support; (ii) external: Government officials, external organizations, consultants.
Qualifications and Experience :
- The ideal candidate will have a BA degree with at least 5 years work experience in relevant position such as secretary, administration assistance in multi-national or international organization.
- Demonstrated skills in retrieving, gathering and obtaining information from various sources (e.g., databases, or other filing systems, joint library, internet, etc.)
- Committed, dedicated and a team player with ability to deal tactfully and effectively with staff and clients in a multi-cultural environment.
- Excellent verbal and written communication skills in English, including ability to draft routine correspondence and edit materials using proper grammar, punctuation and style.
- Effective time management and organizational skills.
- Ability to follow through on team priorities in the absence of the team leader and respond to requests for information.
- Ability to adapt to changing business needs by continuous learning/training.
- Ability to produce high-quality work under pressure.
