The Department of Economic and Social Affairs (DESA) is currently seeking applications from the eligible applicants for the post of Human Resources Assistant, based in New York, USA.
The DESA works closely with governments and stakeholders to help countries around the world meet their economic, social and environmental goals.
Key Job Responsibilities
The Human Resources Assistant will perform the following functions-
- Provides comprehensive assistance in the filling of posts in respect of JPOs by initiating and following-up on reference checks and academic verifications, ensuring the completion of the pre-recruitment formalities, calculating salaries and related benefits, and independently preparing and forwarding offers of appointment and Statement of Emoluments.
- Reviews and processes personnel actions through the applicable HR system.
- Advises all clients on all kind of recruitment queries including on visa matters and maintains continuous and effective communication with candidates.
- Provides appropriate briefing for the newly-appointed staff.
- In line with the delegation of authorities of CDO, provides substantive administrative support by ensuring timely review and process of requests for entitlements and claims in respect of JPOs.
- Coordinates, and actively monitors the arrangements of official travels and shipment of personal effects of JPOs and their dependents as applicable, by taking in the system the necessary action.
- Liaises with different counterparts on the recruitment of JPOs including on financial matters.
- Maintains entitlements reference tables.
- Conducts exit interviews for separating staff and assists him/her in final arrangements.
- Maintains HR related automated systems and applications including automated databases containing HR related statistics and prepares periodic reports.
- Undertakes research on a range of HR related issues and assists in the preparation of notes/reports.
- Provides general office support services; processes, drafts, edits, proofreads and finalizes for signature/approval a variety of correspondence and other communications; performs budget preparation, input monitoring and implementation in the relevant system , etc.; sets up and maintains files/records (electronic and paper); schedules appointments/meetings, monitors deadlines, etc.
- Advises and prepares written responses to queries raised by staff members concerning HR related matters.
- Trains and provides supervision to new and lower-level staff in the unit.
- Performs other duties as required.
Eligibility Criteria
Applicants must have-
- High school diploma or equivalent.
- A minimum of seven years of progressively responsible experience in human resources management, administrative services or related area is required.
- Experience in administration of entitlements and benefits and recruitment functions, with the United Nations or other international organizations is required.
- Experience with monitoring large staffing tables/staff movements and extracting/preparing related functional reports is desirable.
- Experience in application of organizational rules and policies is desirable.
- English and French are the working languages of the United Nations Secretariat.
- Knowledge of French is desirable.
