The Conservation International (CI) is currently seeking applications from the eligible applicants for the post of Senior Coordinator, Special Events based in Arlington, USA.
The Senior Coordinator, Special Events primarily provides relationship-building, fundraising and marketing support for the Special Events team responsible for planning and implementing CI’s fundraising and cultivation events.
The CI’s mission is to build upon a strong foundation of science, partnership and field demonstration, by empowering societies to responsibly and sustainably care for nature, for the well being of humanity.
Key Job Responsibilities
The Senior Coordinator will perform the following functions-
- Oversee the special events marketing materials production process in coordination with CI marketing staff and outside vendors. Materials include printed/electronic invitations, event collaterals and web materials. Manage mailing lists and related production.
- Manage the registration process from initial data base entry to front-line registration at events. Assist the Senior Director with all event seating through the coordination of seating meetings with pertinent staff and key volunteer leadership. Investigate new technologies to streamline effectiveness and efficiency with registration and seating.
- Responsible for maintaining event data in Raiser’s Edge or a similar fundraising database. Duties include recording attendance, entering new constituents, updating constituent information, providing up-to-date lists and generating queries and reports as directed.
- Assist Senior Director, Special Events and the Director of Research with event research background materials and donor/prospect biographies.
- Assist Senior Director and Major Gifts team track follow up strategies for event participants through the moves management process.
- Provide general administrative support.
- Submit and track event revenue forms to accurately account for all pledges and revenue received for each event.
- Perform related duties as assigned.
- This job does not supervise staff but may assist peers and help direct the work of others including interns, temporary employees, contractors, or volunteers.
- This job is not directly accountable for an operating budget, or public and private funds but tracks and monitors expenditures.
Eligibility Criteria
Applicants must have-
- Minimum of three years related work experience. Nonprofit work and event planning experience helpful.
- Experience working in Raiser’s Edge or similar fundraising system.
- Proficient in Microsoft Office and Google Apps.
- Positive, “can-do” attitude, flexibility, and teamwork; high degree of initiative.
- Strong verbal and written communication skills.
- Strong organizational skills.
- Ability to work independently and as part of a team.
- Ability to thrive in a fast-paced environment, multi-task, prioritize, and adapt to changing priorities.
- Understanding of the event planning process.
- Ability and willingness to travel.
- High level of attention to detail and multi-tasking.
