Open Society Foundations (OSF) is currently seeking applications from the eligible applicants for the post of IT Procurement Clerk in New York, United States.

Key Jobs Responsibility
The IT Procurement Clerk will perform the following functions-
- Owning the contracts management process, including: getting vendor signatures on contract documents, scanning documents for upload into online contracts system, putting new vendors through the procurement process and working with Legal/IT Staff to provide documents on request.
- Owning the invoice payment process including: determining whether invoices are appropriate to pay (work has been completed) by getting signoff from appropriate Senior IT personnel, researching online contracts system to match invoice against backup contracts documentation (statement of work, change orders, professional services agreement etc) and clearly documenting association for Finance.
- Also appropriately coding invoice for correct posting as well as determining appropriate program codes when allocated charges are required.
- Allocating monthly US cell phone bills and P-Card among individuals and entering and paying through NS.
- Paying division monthly bills via the NetSuite system (Telecom, HW vendors& Licensing, Division P-Cards etc).
- Establish relationships with all IT vendor A/R contacts to ensure prompt and timely payments. Provide our tax exempt documentation to vendors while requesting their documentation. (W9’s etc) Research questions on payments and communicate issues to staff and vendors in a timely manner.
- Work with Operations Analyst to maintain and reconcile all IT Fixed Assets ownership for the organization in the US.
- Ensure timely follow up on outstanding issues by communicating with staff and vendors to resolve the issues.
- Perform other duties and ad hoc projects as assigned.
Eligibility Criteria
Applicants must have-
- Associates Degree or equivalent with three to five years of relevant experience and/or training; or equivalent combination of education and experience.
- Accounting degree preferred. Experience with processing accounts payable invoices preferred; knowledge of fixed assets a plus.
- Experience with basic accounting in not-for-profit or for-profit organization.
- High degree of comfort with a variety of IT systems.
- Basic knowledge of IT in terms of procurement.
- Ability to demonstrate strong organizational and communication skills.
- Effectively plan own work, understand and research financial data.
- Excellent written, verbal and organizational skills and attention to detail.
- Good computer skills (expertise with Microsoft Word, Excel and Internet research tools; experience with database management preferred.
- Poised and work well under pressure, attention to detail and prioritize work, often simultaneously on a wide range of tasks and projects.
- Flexibility to work late when needed and strong ability to meet deadlines.
- Excellent listening and communication skills with sensitivity to cultural communication differences.
- Ability to handle confidential issues.
- High level of self-motivation and at ease working independently when necessary.
