United Nations Economic and Social Commission for Asia and the Pacific (ESCAP) is currently seeking applications from the eligible applicants for the post of Administrative Assistant in Bangkok, Thailand.
ESCAP is the regional development arm of the United Nations for the Asia-Pacific region.
Key Jobs Responsibilities
The Administrative Assistant will perform the following functions-
- Initiates, processes, monitors, reviews and follows-up on actions related to the administration of human resource activities for OHCHR-EU Project.
- Maintains administrative data and records for time and attendance, performance appraisal.
- Reviews entitlements-related claims and reports.
- Provides advice and guidance to staff with respect to administrative procedures, processes and practices, liaising with ESCAP, OHCHR Headquarter and/or UNDP Offices as necessary.
- Maintains and reviews organizational staffing tables; prepares and reviews reports.
- Monitors status of expenditures and allotments through UMOJA, records variations, updates budget tables.
- Consolidates data received and provides support to review budget.
- Reviews status of relevant expenditures and compares with approved budget.
- Reviews requisitions for goods and services to ensure (a) correct objects of expenditure have been charged and (b) availability of funds.
- Assists in the preparation of budget performance submissions.
- Prepares statistical tables and standard financial reports for the office and the EU project.
- Drafts routine correspondence.
- Participates in quarterly project board meetings and provides administrative support to such meetings including by drafting minutes of meetings.
- Maintains files of rules, regulations, administrative instructions and other related documentation.
- Maintains up-to-date files (both paper and electronic) for the EU project.
- Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field.
- Prepares and processes all UN forms and permissions including: UN ground passes, property passes, UN parking permits.
- Provides administrative support to the workshops, meetings and conferences of the office.
Eligibility Criteria
Applicants must have-
- High school diploma or equivalent is required. First level university degree in Administration is desirable.
- A minimum of 5 years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or related areas is required.
- Experience in providing administrative and financial support to the donor funded projects is desirable. Experience with the United Nations Common System is desirable.
- Fluency in English is required. English and French are the working languages of the United Nations Secretariat.
- Fluency in Thai is desirable.
- Knowledge of another official United Nations language is an advantage.
