Asian Development Bank (ADB) is currently seeking applications from the eligible applicants for the post of Senior Finance and Administration Assistant in Colombo, Sri Lanka.
The Senior Finance and Administration Assistant’s work is to assist the Sri Lanka Resident Mission (SLRM) in fulfilling finance, administration, and personnel management tasks.
The ADB aims for an Asia and Pacific free from poverty.
Key Jobs Responsibilities
The Senior Finance and Administration Assistant will perform the following functions-
- Acts as the processor of Financial Management Accounting System (FMAS) for SLRM including preparing and verifying vouchers, receipts and other supporting documentation for SLRM’s financial transactions.
- Maintains accurate and timely accounting records and provides periodic and ad hoc reports of SLRM financial transactions relating to both operational and administrative activities in accordance with ADB’s guidelines and procedures.
- Processes and accounts for disbursements of SLRM operational and administrative activities including payment for contractual services, day-to-day cashiering, bank functions (e.g. deposits, withdrawals), and handling of SLRM petty cash.
- Facilitates payment on Regional Technical Assistance (RETA) / Technical Assistance (TA) and other organizations related transactions including liquidation if needed.
- Handles recoveries from various meetings/workshops on the use of official phone and stationeries.
- Close monitoring and reporting on SLRM Budgets. Expenditure, planning and forecasting.
- Maintains and updates relevant databases and records for personnel files of SLRM.
- Provides guidance and supervises junior administrative assistant and contractual staff on general office process and financial matters.
- Acts as the alternate area coordinator between Staff Council and the RM; provides feedback to Staff Council on staff sentiment on various issues and disseminates staff related information to colleagues.
- Monitors the activities of drivers, cleaners and the maintenance of RM compound – Alternate Responsibility.
Eligibility Criteria
Applicants must have-
- Bachelor’s degree in business administration, personnel management or related field
- At least 5 years of relevant experience. Related experience in accounting & financial system, administrative and personnel administration in international agencies preferred.
- Technical knowledge.
- Good analytical thinking.
- Ability to establish and maintain productive contacts with appropriate officials of host government, donor agencies and executing agencies; good interpersonal and communication skills desirable.
- Ability to work with individuals from different cultural/national backgrounds.
- Good computer skills with sound knowledge of common word-processing, spreadsheets and graphics software used in ADB.
- Familiarity with local languages and institutions.
- People and leadership skills.
- Ability to liaise and work effectively with staff within own work location.
- Ability to work collaboratively with teams as a constructive team member.
- Good oral and written communication skills in English are essential.
