United Nations Office for Project Services (UNOPS) is currently seeking applications from the eligible applicants for the post of Travel Assistant in Geneva, Switzerland. The duration for the post is of 1 year.
UNOPS mission is to serve people in need by expanding the ability of the United Nations, governments and other partners to manage projects, infrastructure and procurement in a sustainable and efficient manner.
Key Jobs Responsibilities
The Travel Assistant will perform the following functions-
- Ensure quarterly travel plans are submitted on time, and monitor and maintain/update accurate details in order to initiate related travel process. Track and Monitor all additional costs compared to Quarterly Travel Plan provisions.
- Support coordination and timely functioning of all office logistics. This may include: monitor, control and maintain the correct functioning and levels of office equipment to meet requirements; control invoices related to mobile phones, fixed phones, conferencing charges and Internet; purchase and control of materials and equipment required for the office; monitor service provider contracts and prepare documents for procurement; Control, clear and send for payment invoices relating to the office budget.
- Inform WSSCC staff of any important information coming from UNOPS, if requested.
- Assist with meetings logistics and travel.
- Perform other related duties as required.
- Advise on and ensure standard security clearances are completed for staff/ICA holders (through TRIP system), but also for consultants, meeting participants, and other official travelers. Ensure that management and security are kept informed of all incoming and outgoing missions and staff on regular basis.
- Process requests for visas for all travelers and coordinate with Travel Agent and/or national missions to ensure timely processing of visas. Ensure visa support letters are on the established templates and register them.
- Arrange and apply for UN travel insurance for meetings participants (FAMPI) as applicable and when required.
Eligibility Criteria
Applicants must have-
- Completion of High school diploma required.
- Certification in use of any of the Global Distribution System software (GALILEO, AMADEUS, SABRE, etc. desirable.
- Secondary Education with specialized certification in Accounting and Finance, Business or Public Administration desirable.
- Minimum of 5 years of relevant administrative experience required in the areas of administration and travel with international organizations.
- Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and experience in handling of web based management systems required.
- Professional knowledge of IATA policies and procedures desirable.
- Fluency in English and French are required.
