The Room to Read is currently accepting applications from the eligible applicants for the post of Administration Associate. The position will be based in Nepal.
The Administration Associate will be responsible for carrying out all administration related tasks including coordination with Field Level in uniformity of policies and procedures.
The Room to Read is a non-governmental, non-religious and work with many local NGOs and community based organizations to implement the programs.
Key Job Responsibilities
The Administration Associate will perform the following functions-
- Carry out all administrative related work including program procurement in Country Office (CO), Field Officer (FO) and Field Units (FU) in coordination with Admin team in the CO.
- Carry out prequalification of vendors in coordination with Admin team in the Kathmandu Office
- Prepare quotation form while purchasing goods.
- Collect quotations and prepare comparison sheets for procuring the materials at field office level following all requirements suggested by Regional Office and Global Office as well as Government regulations.
- Prepare for payment authorization and submit to Finance department on timely with proper supporting documents.
- Update vendor list regularly.
- Support Admin Manager during Procurement Committee Meeting for selecting vendors.
- Prepare quotation form while purchasing goods.
- Keep records of all documents and correspondence; file it and maintain the systematic filing in the organization
- Carry out Logistic support for out sources services eg: drinking water, tanker water, Cooking Gas etc.
- Regular procurement of kitchen items (tea, milk, coffee, sugar, toilet paper and others as appropriate and maintain proper stock accordingly.
- Maintain stock of Diesel, and Petrol for regular and emergency purpose.
- Explore appropriate Hotel list for in-house meeting/training/workshop take necessary initiation for Hotel room reservation for visitor and donor.
- Handle Domestic and International Air ticket booking.
- Vehicle arrangement for staff, guest, donor and others as appropriate.
- Update Assets list of Country Office, Field Office and Field Unit regularly. (Add)
- Handle International Travel Insurance and Assets Insurance regularly (Add)
- Carry out other functions as per need and periodically and rationally suggested by the supervisor
Eligibility Criteria
Applicants must have-
- Bachelor Level in Management or related discipline (Add)
- Minimum Two (Add) year relevant experiences in any international organization
- Strong planning and time management skills
- Knowledge of government regulation in relation to procurement
- Ability to travel frequently to districts throughout the country
- Strong verbal and written communication skills in English
- Proven track record of achieving results
- Experience in administrative initiatives
- Ability to work in pressure
- Strong Computer skills in MS package specially in excel
- Having valid driving licenses (at least of two wheeler)
