African Union (AU) is currently seeking applications from the eligible applicants for the post of Administrative Assistant, Disaster Risk Reduction Team in Addis Ababa, Ethiopia. The duration for the post is of 2 years.
The Administrative Assistant, Disaster Risk Reduction Team works under the overall supervision of the DRR Coordinator the Administrative Assistant will support in the daily management of the office (of the DRR team) and all administrative related activities including logistical arrangements for meetings.
The mission of AU is to become “An efficient and value-adding institution driving the African integration and development process in close collaboration with African Union Member States, the Regional Economic Communities and African citizens”.
Key Jobs Responsibilities
The Administrative Assistant, Disaster Risk Reduction Team will perform the following functions-
- Organize and maintain an overview of the work of the team to ensure that timely administrative support is provided in general and specialized area.
- Assist with clerical services for the unit.
- Prepare and monitor the budget of the unit and supply relevant information to officers in charge of budget execution.
- Prepare correspondence, special reports, evaluation and justifications as required for general administrative tasks.
- Prepare meetings and follow-up of related decisions for the project.
- Maintain policy, confidential and management records.
- Make travel arrangements for the officers and perform liaison duties with partners as
- Prepare and participate in project meetings and take minutes and/or notes of such meetings.
- Assist in taking minutes, preparing briefing notes, mission requests and mission reports; and.
- Perform any other duties as may be assigned in the DRR Unit.
Eligibility Criteria
Applicants must have-
- Advanced diploma in Secretarial Sciences, Business administration, International Relations and Diplomacy, Economics or related field.
- A broader understanding of Environment and Natural Resource issues will be an added advantage.
- A minimum of four (4) years’ experience in related areas.
- Experience with continental or regional body in areas of Environment, Agriculture and rural development would be an added advantage.
- Ability to work in a multi-cultural team and maintain team spirit.
- Ability to work under pressure, and to act with discretion in a politically sensitive environment and to establish good working relationship both with Government authorities and colleagues.
- Proven time-management and working to deadlines.
- Excellent drafting and reporting skills.
- Good communication and negotiating skills.
- Comprehensive knowledge and understanding of the job of an Admin Assistant.
- Experience in working in a multicultural organization Proficiency in one of the African Union working languages is mandatory. Knowledge of one or more the other working language(s) would be an advantage.
