United Nations Office for Project Services (UNOPS) is currently seeking applications from the eligible applicants for the post of Administrative and Security Associate in Khartoum, Sudan. The duration of this post is 6 months.
The Administrative and Security Associate will provide the overall administration and execution of varied and inter-related operational; logistical and security activities at Sudan Office, ensuring high quality and accuracy of work.

Key Jobs Responsibilities
The Administrative and Security Associate will perform the following functions-
- Ensure effective logistical support, focusing on achievement of the following results.
- Implementation of the control mechanism for administrative services, maintenance of administrative control records such as commitments and expenditures.
- Receipt of shipments, customs clearance arrangements, preparation of documents for UNOPS shipments (received/sent), arrangements for shipments. Preparation of all necessary documentation, implementation of follow-up actions, drafting correspondence related to shipments/customs clearance.
- Arrangement of travel and hotel reservations, preparation of travel authorizations.
- Support to staff members by processing requests for visas, identity cards and other documents in accordance with requirements of the United Nations and national government.
- Administrative support to organization of conferences, workshops, retreats.
- Maintenance of files in Protocol\Logistics Section.
- Checking vehicle logs and preparation of the draft vehicle history reports and maintenance plans.
- Managing of office transport and assign duties to drivers ensuring timely services issuing fuel, recording log-books and maintenance of Vehicles.
- Ensure vehicles are ready and properly equipped before sending them for field trips.
- Coordinates transportation arrangements for official missions inside Sudan.
- Receives and processes requests for booking of domestic flights for official missions.
- Responsible for stock control and management.
- Processing Entry visa, stay permit for staff as required and according to rules and regulations.
- Perform other related duties as required.
Eligibility Criteria
Applicants must have-
- High school diploma is required.
- A Bachelor or master’s degree in political Science, Business or Public Administration will be considered a strong asset.
- Minimum of 7 years of experience in Operations Management and security operations or administration functions are required with a high school degree.
- A BA or a MA degree may substitute for some or all the required years of experience respectively required with a masters Professional experience in Government and /or international organization is desirable.
- Fluency in written and oral English and Arabic is required.
