United Nations Office for Project Services (UNOPS) is currently seeking applications from the eligible applicants for the post of Procurement and Admin Officer in Beijing, China. The duration for the post is of 1 year.
The Procurement and Admin Officer will be responsible for the effective delivery of procurement and administrative support services.
UNOPS mission is to serve people in need by expanding the ability of the United Nations, governments and other partners to manage projects, infrastructure and procurement in a sustainable and efficient manner.
Key Jobs Responsibilities
The Procurement and Admin Officer will perform the following functions-
- Work with concerned stakeholders on procurement needs, providing technical support on specifications, cost implications and logistics for safe delivery both externally and internally.
- Finalize specifications and preparing shortlists based on needs and investigation of related market, identify suitable vendors with due consideration to price, quality, delivery time, warranty and after sale servicing where applicable.
- Develop and issuing invitations to bid, requests for quotation, and requests for proposals.
- Publish procurement advertisements and awards and maintaining a database on procurement activities.
- Evaluate submissions to ensure technical compliance with the project’s needs and cost-effective purchase of goods and services.
- Ensure all procurement actions are conducted as required by the project according to UNOPS Financial Rules and Regulations and the applicable policies and procedures as well as the highest degree of personal and professional ethics.
- Provide various administrative supports to Project Offices and clients.
- Make sure UNOPS’ administrative resources are fully and properly accounted for; adequate and functioning internal control systems.
- Keep an up-to-date filing system for all formal correspondence and other project documents as required.
- Support logistics in the organization of seminars, workshops, trainings, and project associated travel.
- Draft meeting minutes when needed; schedule and provide records for meetings; Maintain records of staff and their personal files.
- Facilitate the recruitment processes and coordination between UNOPS and HR contractor on contract offer.
- Keep track of the inventory, disposal and transfer of office assets.
- Perform other duties as required.
Eligibility Criteria
Applicants must have-
- Secondary education is required.
- Bachelor’s degree in Business Administration, Public Administration, Procurement or other related field is highly desirable.
- 7 years of relevant working experience is required in combination with a secondary education.
- A Bachelor’s or a Master’s degree may substitute for some of the required years of experience respectively.
- At least 2 years of experience in the area of Administration and/or office management is required.
- Knowledge of UN/UNOPS/UNDP administrative and HR policy is highly desirable.
- Experience in the usage of computers and office software packages (MS Office 2003 and/or newer versions).
- Fluency in written and spoken English and Chinese (Mandarin) is required.
