United Nations Economic and Social Commission for Asia and the Pacific (ESCAP) is currently seeking applications from the eligible applicants for the post of Senior Assets Management Assistant in Bangkok, Thailand.
ESCAP is the regional development arm of the United Nations for the Asia-Pacific region.
Key Job Responsibilities
The Senior Assets Management Assistant performs the following functions-
- Supervises and participates in the process of write-off and disposal of obsolete, defective and surplus property of ESCAP to ensure their compliance with the property management and IPSAS guidelines by:
- Reviewing cases from offices, creating and updating notifications for write-off and disposal in the Enterprise Resource Planning (ERP) system.
- Serving as the Secretary of the ESCAP Local Property Survey Board.
- Reviewing the drafting of agenda, preparing of cases and supporting documentation.
- Overseeing the scheduling of meetings and drafting of minutes.
- Following-up and drafting correspondence, special reports, evaluations and justifications as required on each case of the Local Property Survey Board.
- Supervises the acquisition, inventory, distribution, maintenance, and return of office furniture, assets, equipment and supplies by:
- Reviewing and issuing the monthly and year-end acquisition reports.
- Monitoring the annual physical check of ESCAP fixed asset items and the biennial physical check of all bar-coded items.
- Reviewing and certifying the clearance of staff members on separation from ESCAP to ensure that property items supplied are returned in-tact.
- Reviews work completed by subordinates to ensure correctness and accuracy of all submitted records/incoming documents, e.g., packing lists, shipping advice, invoice, property reports, requests on property/supplies and correspondence, etc.
- Assigns work among staff in the Sub-Unit to ensure proper and timely action; follows up with vendors on complicated cases of property acquisition/defects and initiates necessary remedial actions.
- Ensures current maintenance and systems contracts are well monitored in terms of expenditure and compliance to contract terms and conditions.
Eligibility Criteria
Applicants must have-
- High school diploma or equivalent is required.
- First-level university degree is an asset.
- Knowledge of IPSAS and UMOJA subject matters related to the assets and operational inventory is desirable.
- A minimum of ten years of experience in inventory and supply management, property management, logistics, procurement, warehousing, administrative services, or related areas, is required.
- Experience in accounting and assets management, along with prior supervisory role, is desirable.
- Fluency in English is required. English and French are the working languages of the United Nations Secretariat.
- Knowledge of another official United Nations language is an advantage.
