The United Nations Children’s Fund (UNICEF) is currently seeking applications from eligible applicants for the post of Programme Assistant, based in New York, USA.

Key Job Responsibilities
The Programme Assistant will perform the following functions-
- Assist in basic research and drafting of presentations and statements to be made by the Director at international conferences and meetings as well as day-to-day correspondences and memos.
- Assist Deputy Director in prioritizing and tracking requests for action and follow-up. Arrange and schedule meetings and respond to information queries in person or by telephone or e-mail and maintain accurate calendar.
- Contribute to the overall efficient functioning of the office of the director and maintain confidentiality.
- Undertake arrangements for the Deputy Director’s participation in internal and external meetings, conferences and visits to UNICEF regional and country offices.
- Include preparing background information and briefings on sponsoring offices and institution as required by the Deputy Director.
- Attend and take minutes and/or notes at internal and external meetings and conferences.
- Arrange travel for Deputy Director and members reporting to her/him using online bookings tools to set-up itinerary, requesting visa, security and medical clearance, hotel booking and ground transportation.
- Prepare travel requests and travel certifications in VISION and follow-up on processing with Travel Unit.
- Maintain electronic folder of completed trip reports.
- Maintain internal electronic and physical documentation in an efficient storage and retrieval system that allows prompt identification of subject matters as they are clearly and accurately categorized as per Deputy Director’s instruction.
- Assist Supervisor to format and monitor Annual Work Plans. Flag any deviations from agreed plans.
- Monitor financial commitments and expenditures against Supervisor’s budget within Cross-Sectoral Areas such as travel, contracts, and meeting expenditures.
Eligibility Criteria
Applicants must have-
- Completion of Secondary Education (e.g. High School Diploma) is a minimum requirement.
- A minimum of five (5) years of work experience in provision of administrative support services is required.
- Advanced knowledge in the Microsoft Suite of Products (including MS Word, MS Excel & MS PowerPoint), and Intranet/Internet is required.
- Prior experience working in the UN System or other international development organization is desirable.
- Passing the GGST Exam (Global General Service Test) or UN ASAT in English is required.
- Non-US candidates must be in possession of a US G4 visa or be a US permanent resident/citizen.
- Fluency in English (verbal and written) is required. Knowledge of an additional UN Language (Arabic, Chinese, French, Russian, Spanish) is considered an asset.
