The budget explanations will be varied according to the types of applications. As NGOs, you should explain where and how the funding will be expended, either by specified activities, monitoring or by specified organizations and communities, which should include tools and personnel expenses, and with clear time schedules. For those applications of innovative technologies, the budget should include hardware, software, equipment, facilities and cost to the end users. The cost-effectiveness and evidences on demand will be also needed to be discussed by NGO applications. When using the virtual project “A Network to Improve the Maternal Health in Delhi” as an example, the following are considered to be in the budget:
- Total budget of the project
- Budget by personnel (salaries and benefits, and organizations
- Budget by activities and cost types including monitor and evaluation
- Budget by equipment and supplies (hardware, software, headsets, etc.)
- Potential funders and sources of income other than the USAID
You will need to express your ideas about how to manage to follow the principles of low-cost and high-efficiency of the USAID. For example, by explaining the selections of equipment and facilities from lower cost suppliers, second hand resources, or non-profit donations, you may keep the cost lower but efficiencies higher or acceptable when making the budget explanation. Another alternative is to find additional funding sources from local government, communities, and economic bodies.
A Gantt chart could be used to save spaces for the budget explanation, which should briefly list the names of items, the costs, the incomes (funding, resources), and the time schedules. This is an example by using the virtual project:
