World Bank announces job of Administration Assistant- E T Temporary and is seeking applications from the qualified candidates.Excellent oral and written English communication skills are essential for the job. The job location is Islamabad, Pakistan.
Duties and Responsibilities :
- Handle routine day-to-day HR issues in consultation with and under the guidance of the Sr. HRBP.
- Maintain close liaison with the Sr. HRBP and Sr. Program Assistant based at Islamabad Office to consult and coordinate the smoothly running of the HR function of Islamabad Office.
- Maintain staff’s personal files and HR records, etc.
- Handle hiring of Extended Term Consultants and Extended Term Temporaries (ETCs/ETTs) and Term appointments in accordance with the provisions of the Staff Rules.
- Conduct skill tests of assistant level staff and handle Short Term Consultants and Short Term Temporaries (STC/STT) recruitments.
- Act as first contact for answering internal and external queries on HR policies, procedures, recruitment, internships, benefits, etc.
- Maintain and ensure confidentiality of information related to HR and staffing issues.
- Handle event management including logistics for training sessions, workshops, seminars, etc.
- Prepare and update customized reports on staffing making use of the HR Query and PeopleSoft.
- Prepare and manage internal and external publication of vacancy announcements by way of preparation of the advertisements, coordinating local dissemination, posting on the Country Office webpage and posting on MyJobWorldAnd updating the vacancy status in MyJobWorld.
- Down-loading the applications from Bank’s recruitment portal (MyJobWorld) and providing assistance in screening the applications and short-listing applicants.
- Schedule face-to-face as well as video interviews and participate as a member of the panel as and when needed.
- Manage security clearance of newly selected staff.
- Prepare and send appointment packages to the HR Service Center and liaise with them to finalize the recruitment process.
- Handle socialization and orientation of new staff.
- Make logistic arrangements for organizing training, seminars, retreats, and other internal learning events for staff.
- Carry out any other assignments given by the Country Director or the Sr. HRBP.
Qualifications and Experience :
- Minimum Qualifications: Bachelor’s Degree. Master’s degree a plus.
- Experience: 2-3 years of relevant experience in a bilateral or international organization.
- Excellent oral and written English communication skills.
- Strong IT skills
