United Nations Office for Project Services (UNOPS) is currently seeking applications from the eligible applicants for the post of Admin Assistant in Beijing, China.
The Admin Assistant is responsible for the effective delivery of administrative support services.
UNOPS mission is to serve people in need by expanding the ability of the United Nations, governments and other partners to manage projects, infrastructure and procurement in a sustainable and efficient manner.
Key Jobs Responsibilities
The Admin Assistant will perform the following functions-
- Provide various administrative supports to Project Offices and clients.
- Make sure UNOPS’ administrative resources are fully and properly accounted for; adequate and functioning internal control systems.
- Keep an up-to-date filing system for all formal correspondence and other project documents as required.
- Support logistics in the organization of seminars, workshops, trainings, and project associated travel.
- Draft meeting minutes when needed; schedule and provide records for meetings; Maintain records of staff and their personal files.
- Facilitate the recruitment processes and coordination between UNOPS and HR contractor on contract offer.
- Keep track of the inventory, disposal and transfer of office assets.
- Perform other duties as required.
Eligibility Criteria
Applicants must have-
- Undergraduate degree.
- Minimum of 3 years of working experience is required with at least 2 years of experience in the area of Administration and/or office management.
- Knowledge of UN/UNOPS/UNDP administrative and HR policy is highly desirable.
- Experience in the usage of computers and office software packages (MS Office 2003 and/or newer versions).
- Fluency in written and spoken English and Chinese.
