World Health Organization (WHO) is currently seeking applications from the eligible applicants for the post of Administrative Assistant in Manila, Philippines. The duration of this post is 2 years.
The primary role of WHO is to direct and coordinate international health within the United Nations’ system.
Key Jobs Responsibilities
The Administrative Assistant will perform the following functions-
- Review documentation on governing bodies meeting (World Health Assembly, Executive Board, and Regional Committee), provides necessary background information and ensures that all necessary materials, briefings and important information are timely provided. Coordinates, follow-up and/or seek clarifications where needed on briefings and other contributions from relevant programme areas.
- Provide support on overall coordination related to the Regional Committee Meeting (RCM), including preparation of required documents.
- Coordinate, compiles materials and prepares general briefing on other meetings attended by the supervisor.
- Review, prioritizes and processes all incoming communication, issues and concerns received in the Director’s Office, including those of sensitive or confidential nature.
- Ensure completeness of incoming communication in all respect and conformity with established rules and procedures.
- Liaise with the Office of the Regional Director/Office of the Director, Programme Management for clarification on procedural matters and for updates on procedures, policy and delegation of authority, revisions in the Western Pacific Region (WPR) Policy and Procedures Handbook, WPR Secretaries’ Handbook and Official List of Addresses.
- Provide guidance to support staff in the Regional and country offices on work processes and application of office policies and procedures.
- Coordinate with the administrative assistants in the Regional and country offices on ways to further streamline administrative procedures.
Eligibility Criteria
Applicants must have-
- Graduation from secondary school with thorough training in administrative and/or secretarial practices. University degree is desirable.
- More than six years of extensive experience in varied administrative sector posts acquired in a large set-up, in WHO or another large international organization.
- At least two years of administrative experience in a senior management office in WHO is desirable.
- Thorough knowledge of office procedures and relevant WHO policies, administrative rules, and practices.
- Demonstrated high level of professionalism, discretion and diplomacy with handling confidential and sensitive information.
- Demonstrated high sense of urgency and ability to work expeditiously under pressure.
- Strong attention to details including thoroughness and accuracy.
- Excellent organization and time management skills.
- Excellent knowledge of spoken and written English.
