Key Job Responsibilities
The Administrative Coordinator performs the following functions-
- Under the direction of QA Manager, maintain and support the development and dissemination of GPO and QA resources
- Provide support to the QA manager in organization of PTR visits, management of the relevant documentation, and other activities
- Assist staff with Jhpiego Learning Opportunities, coordinate with the IST department the recoding and dissemination of webinars, set up conference calls and meeting rooms for GPO and QA meetings and updates and technical updates for GPO staff
- Process and reconcile invoices and payment documentation
- Support GPO staff members’ participation in global meetings
- Help with arrangements for workshops and retreats, including the Jhpiego Annual Meetings and orientations for senior field staff
- Arrange and coordinate logistical support for staff meetings, including taking, transcribing and distributing meeting notes as requested
- Provide administrative and logistical support for GPO project activities, including ordering/shipping materials, assisting with payment of consultants and vendors, arranging hotel reservations and tracking related expenses and preparing expense reports
- Prepare and route documents for Baltimore or Regional activities such as technical services contracts and consultant agreements
- Assist in preparation of PowerPoint presentations, consolidation of reports, and similar documents as requested
- Contribute to the establishment of processes and practices for capture and organization of knowledge, tools and products within and beyond GPO
Eligibility Criteria
Applicants must have-
- BA with 2+ years administrative experience, preferably in an international development environment
- Knowledge of administrative processes and approaches and financial reporting and reconciliation
- Proficiency in writing and editing letters, reports and documents
- Ability to work independently as well as part of a team in a high volume environment
- Demonstrated ability to maintain a high level of professionalism and confidentiality
- Highly organized with attention to detail and ability to prioritize multiple responsibilities
- Strong decision making skills and results oriented approach
- Excellent verbal and written communication skills
- Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups in a developing country environment
- Ability to interact skillfully and diplomatically with numerous counterparts, both domestically and internationally
- Proficiency in MS Office
