The Cultural Vistas is currently accepting applications from the eligible applicants for the post of Program Officer based in Washington DC, USA.
Program Officers at Cultural Vistas facilitate the operations of the Train USA department through compliance, teamwork, knowledge sharing, and continuous client interaction.
Cultural Vistas is a nonprofit organization that annually serves more than 5,000 students, professionals, and emerging leaders through career-focused international internships, educational study tours, language immersion and cultural exchange programs in the United States and around the world.
Key Job Responsibilities
The Program Officer will perform the following functions-
- Facilitates the program from the beginning of the application process to completion with minimal guidance:
- Evaluates applications to determine compliance with visa regulations, as well as internal Cultural Vistas policies
- Ensures that the program provides robust and meaningful training opportunities in line with the participant’s educational and professional experience
- Synthesizes program policies and expectations and effectively communicates them to all stakeholders
- Monitors deadlines and demonstrates regular follow-up
- Prioritizes tasks, problem-solves and multi-tasks in a time sensitive, client-focused workplace
- Solicits regular feedback from internal and external stakeholders pertaining to the program
- Stays abreast of expected growth/decline in program numbers, as well as budget
- Maintains regular communication with host companies, participants and Cultural Vistas partners to ensure meaningful opportunities and a seamless process
- Educates clients and participants on the purpose of the program, visa regulations, and Cultural Vistas’ application process
- Ensures smooth processing of applications and clear messaging with internal and external customers
- Proactively engages clients and participants, including regular check-ins via phone, e-mail, and in-person
- Ensures high quality and consistent customer service to all parties
- Develops and maintains an advanced knowledge of visa regulations, application requirements and Cultural Vistas policies in order to properly represents Cultural Vistas throughout the process and at events
- Develops and maintains industry knowledge by seeking out educational workshops, classes, and related publications
- Supports on-going communication to all appropriate staff as it pertains to initiatives and new and existing business
- Takes a proactive approach to improve business functions and workflow within department
- Works in accordance with the mission, goals, values, and strategic direction of Cultural Vistas
Eligibility Criteria
Applicants must have-
- Bachelor’s degree required, Master’s degree a plus in International Relations, Business, Education, or a related field.
- Minimum 3-4 years of previous administrative, customer service, client relations management, or program management experience in a cultural exchange, educational, or international relations environment. Prior SEVIS experience preferred.
- Must be proficient in Microsoft Suite products. CRM experience and proficiency a plus.
- Strong understanding of program management, project implementation and working within the constraints of a budget
- Strong leadership qualities, proactive and collaborative with the ability to serve as an effective role-model
- Knowledge of the Exchange Visitor Program or other exchange programs and J-1 visa regulations
- Demonstrated ability to multi-task, prioritize workload, remain organized, and make decisions in a fast- paced, deadline sensitive environment
- Strong critical thinking skills, problem-solving skills, and analytical thinking skills
- Ability to effectively handle ambiguity by creating focus and direction for oneself
- Ability to work efficiently with minimal oversight while providing guidance and support to others
- Effectively communicates, both verbally and in writing, with supervisors, colleagues, external stakeholders and people of all backgrounds
- Honest, direct and transparent communication regardless of the message
- Ability to seek and use input from peers when necessary before making decisions
