Asian Development Bank (ADB) is currently seeking applications from the eligible applicants for the post of Senior Operations Assistant in Manila, Philippines.
The Senior Operations Assistant will be responsible to perform secretarial, administrative, and operational support services for various activities of the Division; coordinate for knowledge a database management, and other administrative functions.
The ADB aims for an Asia and Pacific free from poverty.
Key Jobs Responsibilities
The Senior Operations Assistant will perform the following functions-
- Ensure that all document and correspondence are correctly typed and prepared in compliance with ADB’s standards. Independently composes and sends out routine letters.
- Draft more complex correspondence for signature of supervisor.
- Ensure that all incoming mail is logged, properly distributed, and promptly brought to the attention of concerned staff, and that outgoing mails/faxes are delivered on time.
- Liaise and coordinates with internal and external contacts in order to resolve non-standard queries and problems and to obtain non-standard information relevant to assigned work.
- Provide efficient reception services by proper screening of incoming telephone calls, taking accurate messages, and dealing with queries from internal/external callers to ensure they are referred in a timely manner to concerned staff.
- Ensure the effective coordination of supervisors’ calendar/schedules by maintaining their diaries and arranging appointments, meetings, travel, and accommodation as specified by the supervisors and in accordance with ADB procedures.
- Undertake complex data control activities and checks the work of junior staff; provides formalized technical and procedural guidance and assistance to junior staff.
- Deal with complex and varied aspects of clerical work and troubleshoots on work of junior staff.
Eligibility Criteria
Applicants must have-
- Bachelor’s Degree.
- At least 5 years of relevant work experience.
- Comprehensive knowledge of procedures of the relevant work area.
- Understanding of interactions between different administrative work areas and relevant workflows and their purpose.
- Proficiency in ADB standard software programs and information technologies.
- Proficiency in use of computer data bases to input and extract information and to generate standard and ad hoc reports.
- Knowledge of relevant ADB procedures, guidelines and standards is advantageous.
